What does it cost?

Core medical billing starts at 6% of collected revenue, with a monthly minimum retainer. Additional services are scoped and priced separately. Final terms are set after discovery, once we understand your volume, payer mix, systems, and current state. Enterprise discounts are available for practices collecting more than $5M annually.

Am I locked into a contract?

We build our contracts to earn your business, not imprison it. We have to prove our value every business day — and if the partnership isn't working, you give 30 days’ notice and we part on good terms.

Which practices do you work with?

Accepted Answer

Established outpatient occupational, physical, and speech therapy private practices — pediatric and orthopedic included — generally collecting between $25K and $850K per month. We don't work with start-ups or practices below that range.

Do you just bill my claims?

Accepted Answer

No. Our core medical billing service includes daily claim submission, insurance and patient payment posting, denial management and follow-up, patient payment processing, quality review, access to certified coding expertise, integrated reporting, and one-on-one strategy sessions.

Do you work in my EMR?

Accepted Answer

Yes. We work in your system — we never extract your data out. Every note, claim, and function our team touches is tracked in real time inside your EMR, worked by the same employees day in and day out. Some of the EMRs we currently support include Fusion by Ensora Health, Ocean Friends, Stride EMR, and Prompt EMR. Reach out to learn about the different EMRs we have the capability to support. We'll only recommend a transition if it meaningfully improves your billing.

How often is my account worked?

Every business day. Claims go out daily and payments are posted daily — insurance payments and patient card payments, both through your EMR.

Who actually works on my account?

US-Based W2 employees — never contractors. Our organization averages more than 8.5 years of employee retention. Your team includes AAPC-certified coders, auditors, and revenue cycle specialists, with Chief Billing Officer quality oversight and senior leadership involvement.

Are coding audits included?

Your practice has access to AAPC-certified coders for audits and review. Audits are performed when requested or when our team and Chief Billing Officer determine that a closer review is needed.

What is the quarterly consulting session?

You receive one-on-one strategy sessions with Chief Problem Solver Brandon Seigel, bestselling author of The Private Practice Survival Guide. These sessions connect billing performance with practical operational coaching and strategic support.

Do you handle credentialing or payer enrollment?

No. We don't do credentialing or payer enrollment, and we don't negotiate payer contracts on your behalf. We can share strategy in your quarterly consulting session.

Can I hire you for just one piece of the billing process?

Accepted Answer

No. We don't offer à la carte, partial, or one-time core billing. Based on team availability, core billing clients may add our separately priced Eligibility & Authorization Program. It combines custom Monday.com intake boards, daily eligibility and authorization management, professionally completed Good Faith Estimates delivered by email, and systems connecting front-end intake with back-end billing.

Do you call our patients?

No. We are not a call center and do not conduct phone calls with your patients. When patient communication is part of the agreed scope, we use email or text to maintain a full written record and protect the relationship between your practice and your patients.

Do you offer reporting dashboards or other technology?

Accepted Answer

Yes. We can integrate additional technology solutions for real-time reporting, dashboards, and related operational visibility. These solutions are outside the core 6% service and are scoped and priced separately.

How do we communicate day to day?
